The EU took a major step towards protecting the private data of all citizens when it adopted the General Data Protection Regulation (GDPR). At Gracechurch we take data privacy seriously. This page is for those who attend Grace Church, to describe the personal data we store and process.

We may hold your:

  • Full name
  • Email address
  • Home telephone number
  • Mobile telephone number
  • Full home address
  • Dietary preferences or allergies

If you have a child, we may hold their:

  • Full name
  • Date of birth
  • Allergies, medical conditions, dietary needs and special needs

We may also hold an emergency contact number other than your phone number.

We need this information to help us to:

  • organise events and rotas
  • look out for every member of the church, being devoted to one another in love (Romans 12)
  • run the church safely and well

We may process your or your child’s data by:

  • using names on rotas or lists of people attending certain events (which may include dietary preferences); these are visible to anyone with the address of the list or rota
  • keeping emails you send to the leadership team
  • maintaining a register of who comes along for pastoral care reasons
  • holding any of your personal data in central database(s) so we can contact you if needed
The lawful basis for holding this data is the consent of the individuals concerned, or their parent in the case of minors. Data is not passed to any third party and is erased when the individual leaves the church. We use Google services which may transport personal data to the US under the Privacy Shield framework.

Data subjects may exercise their rights (right to withdraw consent, right of access, right to rectification, right to data portability, right to object, right to erasure) by contacting us.

Collecting personal details as part of attending church during COVID-19 measures

This privacy notice is an addendum to our main privacy statement and notices (above). The Charity Trustees of  Farnham Baptist Church (as Data Controller) can be contacted by ringing 01252 726 830 or emailing

It may be necessary to collect your name and contact details in order to fulfil our responsibility to provide a safe environment in which those attending  Grace Church Wrecclesham can pray and worship during this COVID-19 recovery phase. We will only use this information to contact you in the event that we believe you may have come into contact with a suspected case of COVID-19 at Grace Church Wrecclesham and it may be necessary to share your details with NHS Test and Trace if they are requested for contact tracing and the investigation of local outbreaks. Your name and contact details will temporarily be securely stored within our secure Churchsuite system and also on paper in a locked box at St Peter’s School, Wrecclesham.  They will be retained for a period of 21 days in line with government guidance and then disposed of within the following 7 days. 

Please inform Grace Church Wrecclesham as soon as possible if you test positive for coronavirus or develop any of the following COVID-19 symptoms:

  • A high temperature
  • A new, continuous cough
  • A loss or change to your sense of smell or taste

Data Protection legislation allows us to process this information as we regard it as being in the church’s legitimate interest. The Information Commissioner’s Office has published guidance on data handling during the pandemic. Please see

We will take a photograph of the room at the start of each meeting to note where people are seated; this would assist NHS Test and Trace in the event of COVID-19 case and will not be used for any other purpose. We will destroy this after 21 days.
